How to set up an AI agent workflow (without building one)

An AI agent workflow is the loop an agent runs to reach a goal you set: it perceives the situation, decides the next step, acts with a tool, checks the result, and repeats. The important shift from a traditional automation workflow is that you don't design the steps — you describe the outcome, and the agent works out the flow. Here's how to set one up.

Agent workflow vs traditional workflow

A traditional workflow (in a tool like Zapier or Make) is a fixed sequence you build: this trigger, then that action, then the next. An AI agent workflow is goal-driven: you give it an outcome and it decides the sequence, adapting when the situation varies. One is a recipe you write; the other is a result you request.

Setting up an agent workflow, step by step

  1. Pick one outcome. Be specific: "flag invoices over 30 days overdue and draft the follow-up," not "handle finances."
  2. Connect the tools the outcome touches — read-only to start.
  3. Describe the outcome in plain English and let the agent propose its plan.
